Re:                  Expulsion Procedure Forms

Attached, you will find four forms to be used as a guide for your use in the process of completing expulsions.  These forms have been created for your use as a tool for the expulsion process. These tools will make completing the expulsion process simpler for you and for us. 

1.                  Checklist for Expulsions:  this form can be used as a checklist as you go through the expulsion process.  The items listed on this form are the things that are often not sent in to the home office. When we receive partial documentation, we contact the chapter and make a request for that information.  Hopefully, if you follow this checklist, and send the documentation in to us when everything has been checked off, we should eliminate a lot of the time delays.

2.                  Procedures for Expulsion:  this form is not new, but is included  for reference as you go through the process.  There are several requirements that must be followed exactly as printed in the list.  On the last page, we have enclosed a sample letter that could be used to notify the home office that the expulsion has been voted on and completed.

3.                  Documentation Needed to Complete Expulsion:  Once you send all documentation to the home office, we will use this green form to notify you of information that is missing.  It will be sent to you with the missing item checked and a copy of the brother’s information. 

4.                  Expulsion Example (samples A, B, C, & D): this is an example taken from another chapter to give you an idea of the complete documentation needed for an expulsion.  Please feel free to use this form as another tool to help in your expulsion process.

  

In the past, we have found many of the expulsions that have been started tend to take longer than they should due to a change-over of officers each January and because there are no chapter meetings during the summer months. Many expulsions get started and never get completed.  To help eliminate this problem, we have decided to try a little different process at the home office.

On October 15 and April 1 of each year, the home office will return all prior, outdated and incomplete expulsion documentation to the VNR Planning.  Your chapter will still have time before the end of the semester to return the completed documentation to the Home Office for the final expulsion process.

Please note that a member’s status cannot be changed to “expelled” in the database until all the documentation is received.  This means the member will remain on your active roster and your chapter will be billed accordingly.
